WhatsApp ordering for restaurants: how it works and what you need

How a restaurant takes orders on WhatsApp: what you need, how an order flows from first message to payment, and when to build or buy.

Many restaurant customers already message the business they want to buy from. WhatsApp ordering turns that habit into a proper order: items, quantities, address and payment, without asking the customer to download an app or create an account.

What you need

  • A WhatsApp Business number that belongs to the restaurant, not to one employee.
  • A menu with prices that can be sent as a short numbered list.
  • A way to take payment: a card link, or pay on pickup.
  • Someone, or something, to answer quickly. Slow replies lose orders, which is where a bot earns its place.

How an order flows

The customer says hello. The bot replies with today's menu and asks for a number. Items go into a basket, the bot confirms the total and asks for pickup or delivery, takes the address, sends a payment link and hands the finished order to the kitchen's phone. A person can step into the chat at any point.

Languages matter more than features

In many neighborhoods the same restaurant serves customers who write in English, Spanish and Hindi. A bot that answers in the language the customer used gets the order. One that replies only in English gets a phone call, or nothing.

Build it yourself or use an engine

You can run WhatsApp ordering by hand with a shared phone, and for a quiet shop that is fine. It breaks at the dinner rush, when three chats arrive at once. An engine handles the routine messages and leaves your staff the exceptions.
