Hotel night audit software: what an owner should look for
Your PMS already runs the night audit. This guide covers what it does not tell an owner, and five questions to ask any night audit review tool.
Every hotel property management system runs a night audit. It posts room and tax, rolls the business date and prints a bundle of reports, often 60 to 80 pages for a select-service hotel. If you own the hotel but do not work the desk, that bundle is the only written record of what your night clerk decided while you were asleep. Almost nobody reads it.
What the night audit already does well
The PMS audit is an accounting routine. It balances the day: charges posted, payments taken, ledgers carried forward. If a number is wrong it is usually because a person chose to make it so, not because the system failed. That is why "my PMS already does the night audit" is true and still leaves an owner exposed.
What it does not tell an owner
The reports record decisions without judging them. A guaranteed booking cancelled a day late, an adjustment posted after checkout, a rate cut below plan, a cash drawer that is exactly zero every night: each is printed, each on a different page, and nothing in the pack compares them. Five questions to ask any night audit review tool
- Does it need a login to my PMS or brand portal? Every shared credential is a franchise and security conversation. A tool that reads the emailed report avoids it.
- Does it need my bank? Bookkeeping products usually do. A desk review should not.
- Does every flag name the clerk, the time, the room and the dollar amount? "Adjustments were high" is not something you can act on.
- Does it remember across nights? One write-off is a correction. Four by the same login after 11 pm is a pattern, and a single night's report cannot show it.

The leaks worth checking first
